Who we are
QuietClaim provides a service that helps air passengers claim compensation under EU Regulation (EC) No 261/2004. We are the data controller for the personal data described here. For any privacy question or request, contact privacy@quietclaim.app.
QuietClaim is based in the European Union.
What data we collect
- Flight and disruption details you enter: departure and arrival airports, flight date, flight number, airline, and what happened (delay, cancellation, denied boarding).
- Your contact and identity details: first name, last name, email address.
- Documents you choose to upload: e.g. booking confirmation or boarding pass.
- Basic technical data when you use the site (e.g. IP address, browser type), and cookies (see the Cookies section).
Why we collect it and our legal basis
We use your data to check your eligibility, prepare and file your claim, and keep you updated. Our legal basis under GDPR Article 6 is: performance of a contract and steps taken at your request (to assess and pursue your claim), your consent (e.g. for any non-essential cookies or optional communications), and our legitimate interests (e.g. keeping the service secure and responding to your enquiries).
How we store and protect your data
Your data is stored using our infrastructure provider, Supabase, on servers located within the European Union. Uploaded documents are held in private storage accessible only to our team. We apply appropriate technical and organisational measures to protect your data.
Who processes data on our behalf (sub-processors)
We use a small number of trusted providers who process data only on our instructions:
- Supabase: database and document storage (EU region).
- AeroDataBox (via RapidAPI): flight information lookups. We send flight numbers, airports and dates to retrieve flight status and distance; we do not send your name or contact details to this provider.
- Resend: to send you claim confirmation and status emails.
- Crisp (live chat): powers the chat widget on our site. When you start a conversation, Crisp processes the messages and contact details you provide so our team can respond. Crisp acts as a processor on our behalf.
We enter into data-processing terms with these providers as required by GDPR.
Who we share your data with
To pursue your claim, we share the necessary details with the relevant airline and, where needed, regulators, courts, or legal partners. We do not sell your personal data or share it for third-party marketing.
International transfers
Where a provider processes data outside the European Economic Area, we rely on appropriate safeguards under GDPR, such as an EU adequacy decision or the European Commission's Standard Contractual Clauses.
How long we keep your data
We keep claim data for the duration of your claim and for up to six years afterwards to meet legal, tax, and accounting obligations, after which we delete or anonymise it. If a claim is found ineligible or you ask us to stop, we delete your data once we no longer need it for these obligations.
Cookies
We use cookies and similar technologies to make QuietClaim work and to improve your experience. You can manage your choices at any time using the “Cookie settings” link in our footer.
We group cookies into three categories:
- Essential: necessary for the site to function, including security, keeping you signed in, and remembering your cookie preferences. These can't be switched off.
- Functional: these support our live chat, provided by Crisp, so you can message our team for help with your claim. When you use the chat, Crisp processes the information you provide in order to deliver the conversation. See “Sub-processors” below.
- Analytics: we do not currently use analytics cookies. If we introduce them in future, we will do so only with your consent.
When you first visit, we show a cookie banner letting you accept all, reject non-essential, or choose by category. Your choice is stored in a cookie so we can remember it on your next visit.
Your rights
Under GDPR you have the right to access, correct, delete, or receive a copy of your data (portability), and to object to or restrict certain processing, and to withdraw consent at any time. To exercise any of these, email privacy@quietclaim.app. You also have the right to complain to a data protection supervisory authority.
Changes to this policy
We may update this policy from time to time; the "last updated" date shows the current version.
